Castfolio is a private workspace that helps casting directors keep track of actors they are considering for roles. This notice explains what information is held, why, and your rights.
Who we are
Castfolio is a proof-of-concept tool. Each casting director decides which actors to keep in their own library and is responsible for how they use it. Castfolio provides the secure storage and software on their behalf.
What information is held
- Name, email, phone number and agent details
- Headshots
- Playing age range, location, accents, skills and languages
- Union status and professional links (e.g. Spotlight, showreels)
- Casting history and private notes made by the casting director
Why it is used
Information is used only for talent casting consideration — helping a casting director assess and contact actors for film, television, theatre and commercial projects. Castfolio does not represent, manage or act as an agent for actors, and does not sell or share data with third parties for marketing.
Lawful basis
Under UK GDPR, details are processed on the basis of legitimate interests in casting consideration. Where an actor submits their own details through a submission link, they do so knowingly and for that purpose.
Storage and retention
Data is stored on secure, encrypted cloud infrastructure. Headshots are kept in private storage and only shown through short-lived secure links. Details are kept only as long as they remain relevant for casting consideration, and can be deleted at any time.
Your rights
You can ask for a copy of the information held about you, ask for it to be corrected, or ask for it to be deleted. Email callum_hudson@live.co.uk. You can also complain to the Information Commissioner's Office (ico.org.uk).
